Convention Services Specialist

Reports to: Director of Sales & Services
FLSA Status: Non-Exempt

Experience Grand Rapids has a position available for a Convention Services Specialist. This role is responsible for a variety of complex duties as related to administrative support for the Convention Services Managers. In addition, the role provides administrative support for the Convention Services volunteer program and assistance to the Sales team as needed. The position involves frequent written and verbal communication with clients and partners.

Essential Duties and Responsibilities:

  • Provides administrative support to Director of Convention Services and Convention Services Managers by maintaining department calendars, scheduling volunteers and information kiosks, fulfilling product orders, and maintaining product inventory and storage.
  • Facilitates delivery of convention services to small meeting, reunion, tour and wedding clients.
  • Assists Sales department projects as needed.
  • Provides coverage for the Visitor Concierge Desk as needed.
  • Actively demonstrates commitment to the Experience Grand Rapids mission and organizational goals.
  • Other duties as assigned.
  • Oversee our STARs program; scheduling bi-monthly meetings; recruiting new volunteers.
  • Send out dining information to clients, restaurant partners. Along with sending out weekly convention updates to the team.

Working Conditions:

Ability to work in stressful environment. Frequent telephone and computer use.  Use of manual dexterity required for writing and computer use.  Sitting for extended periods of time. Must be able to lift up to 30 pounds. Independently mobile with the possibility of climbing stairs. Specific vision abilities required by the job include close vision, distance vision, and ability to adjust focus.  Must be able to stand for long periods of time.  Work travel, both by auto and by airplane, is required. Reasonable accommodations will be made to enable individuals with disabilities to perform essential tasks.  


  • Associate degree or equivalent work experience.
  • One (1) to two (2) years of progressive administrative support experience.
  • Proficiency in Microsoft Office Suite.
  • Database experience preferred.
  • Ability to manage supporting the Services team's needs.
  • Ability to handle multiple tasks, priorities, and deadlines.
  • Must have appropriate demeanor, aptitude, and interpersonal skills to maintain effective work relations with those encountered in the course of employment.
  • Professional and mature attitude; remains calm under pressure.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Broad knowledge of the organization's services, activities, policies, and procedures to deliver outstanding customer support both internal and external.
